Surveys
Surveys let you measure the auditee's satisfaction with the audit process. They are configurable, sent by email, and the responses are stored with their own reporting. They live inside the Administration module (as questionnaires), but they are used in the audit-lifecycle context, which is why we document them here.
Defining a questionnaire
- Administration → Questionnaires → Definition → New.
- Fill in:
- Name.
- Email subject: subject of the email Mawidabp will send.
- Email body: body of the email.
- Link text: text of the button/link to the survey.
- Email note (optional).
- Survey class (optional): ties the questionnaire to an entity to trigger automatic sending (for example, send together with each final audit report).
- Add the questions with their answer type:
- Multiple choice.
- Yes/no.
- Direct answer (free text).
- Save.
Option groups
If you use multiple-choice questions that repeat across surveys, you can define the values in Administration → Questionnaires → Option groups and reuse them. That way the list changes in a single place and propagates to every survey using it.
Sending surveys
There are two ways to send a survey, depending on how the questionnaire was defined.
Together with the final audit report
If the questionnaire has the survey class "report", it is automatically sent when issuing a final audit report and clicking Send by email. The auditee receives the report and the survey in the same email.
Independently
If the questionnaire has no associated class, it is sent manually when needed:
- Administration → Questionnaires → Surveys → New.
- Fill in:
- User: recipient.
- Questionnaire: the previously defined one.
- About (optional): context.
- Create survey.
The recipient gets an email with the link to respond.
Responses and reporting
Responses are stored and can be reviewed in Administration → Questionnaires → Reports. The report groups the information by:
- Type of questionnaire.
- Organizational unit.
- Summary of responses per question.
You can also follow up on surveys that were sent but have no response yet, allowing reminders or re-prioritization.
Conditions for use
Surveys are designed to be sent when a review has a report in approved or final status. Mawidabp validates this condition to make sure the auditee receives the survey for already-finished (or near-finished) work, not for a review still in progress.
